1. What is automatic credit assignment?

Automatic assignment is a “set-and-forget” feature that drops one credit into a carer’s account the moment they request a break — but only if they match the rules you choose. It means you no longer have to log in and hand out credits one by one.

Why use it?

  • Zero admin. Carers get their credit instantly, even at 2 am.

  • Fair distribution. Filters stop repeat bookers scooping up every free break.

  • Better conversion. Fewer payment steps = more carers completing bookings.

2. How to switch it on

  1. Go to Credits → Automatic assignment.

  2. Flip Give 1 credit automatically… to ON.

  3. Turn on the rules you want (see § 3).

  4. Click Save changes. ✔︎

Tip: You can toggle the master switch off any time without losing your rule settings.

3. The available rules

Rule

When to switch ON

Behind-the-scenes check

First-time credit

You want every carer to receive at most one gifted break from your organisation.

Carer has never had a CP credit from you before.

No break this year

You’d like carers to wait at least a year between free breaks.

Carer hasn’t taken a Carefree break since 1 Jan {current year}.

Joined after (date)

You’re running a promo for recent sign-ups.

Carer’s Carefree account was created after the date you pick.

All selected rules must be true for a credit to fire. Leave a rule off (or blank) to ignore it.

4. Live summary bar

As you build your rule set you’ll see a sentence like:

Result: A credit will be added automatically to carers who meet every rule you’ve turned on.

Use it as a quick sanity check before you hit Save.

5. Checking it’s working

  • Test it: Set the filters wide open, refer a dummy carer, and submit a break request. You should see a credit appear in their activity log within seconds.

  • Email alerts: Each time a credit fires you’ll receive a short notification (“Credit sent to Jane Doe – balance now 9”).

  • Balance banner: Drop below three credits and the page raises a yellow “Low credit” banner; auto-assignment pauses at zero.

6. Editing or pausing a rule

  1. Re-open Automatic assignment.

  2. Adjust toggles or the date.

  3. Click Save changes.

  4. To pause the whole feature, flip the master switch to OFF – your rule settings are remembered for later.

7. Common questions

Question

Answer

Can I give 2 credits automatically?

Not yet. Auto-assignment currently sends 1 credit per eligible carer. Use Manual Assignment if you need more.

Will carers be told?

Yes – they get the usual “You’ve received a credit!” email the moment the credit lands.

What if a carer cancels?

The credit returns to your CP balance automatically and can fire again for another eligible carer.

Does automatic assignment work for Group credits?

No – the feature sits at CP level. Groups first allocate credits to CPs, then CPs can auto-assign to carers.

8. Troubleshooting

Symptom

Fix

Rule is ON but credits aren’t firing

1) Check balance > 0. 2) Make sure the carer meets all active rules. 3) Contact Support with the carer’s email and request ID.

Carer expected a credit but didn’t get one

Look in Credit activity: if you see no assignment line, the rules blocked it. Slide a rule OFF or assign manually.

Automatic assignment paused banner

You’re out of credits. Buy more; the feature resumes automatically once the invoice is paid.
